This Privacy Policy describes how TrenovaCodes ("we", "our", "the App") collects, uses, and protects information when you use our mobile application.

1. Overview

TrenovaCodes is an employee attendance and task management application. Accounts are created only by an administrator — there is no public sign-up or self-registration. Users log in using credentials (username or email, and password) provided to them by their administrator.

2. Information We Collect

a) Account Information

• Name, username, email address
• Password (stored securely; only a hashed version is kept on our servers, never the plain text password)
• User role (Admin / Employee)

b) Profile Information

• Profile picture, if the user chooses to upload one

c) Attendance Data

• Check-in and check-out timestamps
• Attendance history associated with the user's account

d) Location Data

• When a user checks in or checks out, the App requests access to the device's GPS location.
• This location is used only to record where the check-in/check-out took place, as part of the attendance record.
• Location is only accessed at the moment of check-in/check-out — the App does not track or collect location in the background at any other time.

e) Task Data

• Tasks assigned to the user by an administrator
• Task status updates
• Comments posted by users on tasks (comments may be visible to other users involved in the same task)

f) Device and Notification Information

• The App uses Firebase Cloud Messaging to enable push notifications (for example, when a task is assigned) and may store a device notification token for this purpose.

We do not collect contacts, camera/microphone data (other than a photo the user actively chooses to upload as their profile picture), SMS, or call logs.

3. How We Use Information

• Authenticate users and control access to the App
• Allow administrators to assign and manage tasks
• Record and display attendance (check-in/check-out) history, including check-in/check-out location
• Enable comments and collaboration on tasks between users
• Display profile pictures within the App
• Send push notifications related to tasks and attendance
• Maintain and improve the App's functionality and security

4. Who Can See Your Information

• Administrators can view all users' attendance history (including check-in/check-out location), assigned tasks, and profile information, since accounts and tasks are managed by them.
• Other users may see your name, profile picture, and comments on tasks that you are both associated with.
• We do not sell, rent, or share your personal information with third parties for advertising or marketing purposes.

5. Data Storage and Security

• Data is stored on our backend server and associated database.
• Passwords are stored in hashed (encrypted) form and are not visible to administrators or other users.
• We take reasonable technical measures (secure API authentication using access tokens) to protect your information from unauthorized access, alteration, or disclosure.

6. Account and Data Deletion

• Accounts in this App are created exclusively by an administrator; users cannot self-register.
• To request deletion of your account and associated data (attendance records, location history, tasks, comments, profile picture), please contact us at the email below. We will process deletion requests within a reasonable time, except where certain data must be retained for legal, administrative, or record-keeping purposes (e.g., attendance/task records an employer is required to keep).

7. Children's Privacy

This App is intended for workplace/organizational use by employees and administrators. It is not directed at children, and we do not knowingly collect information from children under 13.

8. Third-Party Services

The App uses Firebase (Google) for core functionality including push notifications. Firebase may process a device token as described in Google's own privacy policy.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date.
